A 1-star review stings, but your reply is read by every future customer who finds it. A good one can win back the reviewer and show everyone else exactly how you handle problems.
The five-part reply
- Thank them, by name.“Thanks for letting us know, Dana.” It sets a calm tone before anything else.
- Own the experience. Apologize for how it felt, without arguing the details in public.
- Keep private details private.Don't confirm what you did at their home, what they paid, or anything else about the job.
- Take it offline. Give a real name and a direct way to reach you.
- Keep it short, and sign it. Three or four sentences from a real person beat a paragraph of policy.
What not to do
- Don't argue, or correct the customer point by point.
- Don't offer a refund or discount in exchange for removing or changing the review. That's against Google's policies.
- Don't paste the same reply on every review. People notice.
- Don't wait a week. Reply within a day or two, while it still matters to the customer.
Examples you can adapt
The technician was late
Thanks for telling us, Dana. Waiting two hours without a call isn't the experience we want for anyone, and I'm sorry we let you down. I'd like to make this right. Please call me directly at [number]. – [Name], Service Manager
A surprise on the bill
Thanks for the feedback, Mike. A final bill shouldn't hold surprises, and we want our pricing to be clear before any work starts. I'd like to go through the invoice with you. You can reach me at [number]. – [Name]
The fix didn't hold
Thanks for letting us know, Priya. That's not the standard we hold ourselves to, and we'd like to come back and take another look. Please call [number] and ask for me. – [Name]
You can't find the customer
Thanks for the review. We couldn't find a visit under this name, and we'd like to understand what happened. Please call us at [number] so we can look into it. – [Name]
After you reply
Fix the cause, not just the review. If the same complaint shows up again and again (late arrivals, surprise charges), it's a process problem, and fixing it prevents the next 1-star. If the customer ends up happy, they may choose to update their review on their own; just don't ask them to in exchange for anything.

How Pulse Rep helps
Pulse Rep matches each review to the real customer and job, so you know who you're talking to before you reply. It drafts a reply in your voice that you can edit and post to Google from the app, and the low-rating report shows the causes and technicians behind your 1–3 star reviews, so you can fix what's driving them.
